Operations Reporting Coordinator

Summary:
The Operations Reporting Coordinator works with the appropriate business units to process complex transactions in a timely and efficient manner. Reporting to the Vice President of Operations Reporting, this position performs all duties assigned by ! the Vice President of Operations Reporting and coordinates eff! orts with the Payroll and Employee Service Center Departments. The Coordinator must know, practice and ensure that company policies and procedures and state and federal laws are followed, and exercise confidentiality with company or customer information at all times.

Essential Duties and Responsibilities

include the following. Other duties may be assigned.

Provide primary administrative support to VP of Operations Reporting which includes the following:

Maintain daily calendars

Prepare expense reports

Organize details for travel arrangements and prepare itineraries

Answer phone calls when not present

Prepare meeting materials as needed and distribute as needed

Act as back-up to Senior Administrative Assistant when needed

Maintain all Accounting Intranet sites, including the Financial Policies & Procedures and Sharepoint site

Complete all departmental specific data entry, filin! g and coordination of meeting set-ups as needed

Assist Payroll Department by doing the following:
Assist with semi-monthly payroll data input as needed

Input and compile

Payroll Exception Reports

for the entire Corporate semi-monthly Payroll

Distribute paper paychecks for bi-weekly payrolls

Gather W-2's for current and terminated employees as needed

Complete

Verifications of Employment

from HR for current and terminated employees

Maintain all Child Support and Garnishments for Corporate and/or Hospital payrolls

Supervise yearly audit of Payroll files and report missing documents to HR, following up as needed

Answer incoming phone calls and assist employees as needed with their payroll inquiries

Input Monthly Census data into the Census website

Assist with any special projects, including compilation of information in payroll systems
Update Facility Payroll Phone and email distribution list

As! sist the Accounting Employee Service Center team by doing the following:

Organize and send out meeting requests

Act as the backup for the receptionist when she is out of the office

Assist with any special projects, including creating any documents on Microsoft Visio

Prepare off-site storage and various Accounting files

Qualifications

Computer Skills:
To perform this job successfully, an individual should have general knowledge and proficiency with Word Processing software; Spreadsheet and Database software.

Supervisory Responsibilities:
None

Education/Experience:
Minimum High School diploma or general education degree (GED); related experience and/or training; or equivalent combination of education and experience required; Bachelor’s degree preferred.
